Event Day Basics

What to Know Before You Arrive

Arrival

  • Please arrive outside the venue by 8:00 AM.
  • We will meet outside, organize materials for load-in, review assignments, and go over event-day details.
  • Orientation happens outside first. Venue access is at 8:00 AM, then setup begins.
  • Please be on time so every team can load in and set up smoothly.

Attire

  • You will receive a Healthcare for Homeless Animals volunteer T-shirt and a lanyard name badge when you arrive.
  • Please wear black bottoms, such as black pants, a black skirt, or clean black trousers. No shorts.
  • Please avoid visible outside logos or branded clothing.
  • The goal is clean, comfortable, and event-appropriate.

Phone & Charger

  • Please bring a fully charged phone.
  • Bring a phone charger or portable charger if you have one.
  • Some volunteers will use their phones for guest check-in, auction support, raffle support, QR codes, photos, and answering guest questions.
  • Please keep your phone available in case your team needs to pull up event, auction, or guest information.

Food, Water & Breaks

  • Please eat breakfast before you arrive. Brunch will not be served until around noon.
  • Bathrooms are available inside the venue. Please take bathroom breaks as needed.
  • Bring a water bottle if you would like to keep one at your station.
  • We will have a reserved Healthcare for Homeless Animals volunteer table with 8 seats.
  • Volunteers can rotate through this table to sit down, take breaks, eat brunch, and have dessert.
  • Each volunteer area has enough support so team members can switch with each other and make sure everyone gets the breaks they need.

Representing Healthcare for Homeless Animals

  • You are representing Healthcare for Homeless Animals throughout the event.
  • Please be warm, calm, helpful, patient, and professional with guests, sponsors, partners, animals, and each other.
  • Some volunteers may be handling animals or working in highly visible guest-facing roles.
  • Please enjoy the event responsibly. Volunteers may have a welcome drink or beverage, but please avoid alcohol use that could affect guest support, animal handling, event responsibilities, or professional conduct.
  • If you are off-duty later in the event, please continue to be mindful, professional, and event-appropriate.

Parking

  • Limited parking is available at the venue.
  • We strongly recommend carpooling or using a rideshare or taxi service to and from Westlake Yacht Club.
  • Street parking is allowed along the west side of Lakeview Canyon Rd on Sundays and holidays.
  • The neighboring Lakeshore community has plenty of street parking and is a 0.3 mile walk to the Yacht Club.
  • About 10 cars fit a little closer, on Lindero Canyon between Lakeview Canyon and the Yacht Club.
  • There is more parking on the other side of Lindero Canyon, but you would have to cross the street, which is known for excessive speeding.

Familiarize Yourself With Our Platforms

  • Read through our brand new website to learn more about Healthcare for Homeless Animals, our story, and our journey.
  • All donations are made on our Get Involved page.
  • Givebutter runs the silent auction. Guests bid on their phones.

Team
  • Janine Quint Greeter
  • Carolyn Quetzál Welcoming and orientation support
  • Kam Walton Check-in and greeter support
  • Nina Beth Guest check-in and greeting
  • Tina Hobbs Guest flow support as needed
Main responsibilities
  • Welcome every guest and check them in.
  • Hand every guest a program and a drink ticket.
  • Guide guests through name tags and photos.
  • Keep the entrance moving so there is no bottleneck.

Check-In Link for Volunteers

There are two ways to check guests in. Use whichever is fastest for the guest in front of you.

Option 1
Scan the ticket QR code
  1. Open the regular camera on your phone.
  2. Point it at the QR code on the guest's email ticket and tap the link that appears.
  3. When asked if you are staff or a volunteer, tap yes.
  4. The guest is checked in.
Option 2
Search by name
  1. Open the Zeffy check-in link below.
  2. Search the guest's name on the live roster.
  3. Check them in manually.

Use this when a guest does not have their ticket handy or you need to look someone up.

  • No login credentials are needed.
  • Multiple volunteers can use the link at the same time.
  • The roster updates automatically across devices in real time, so scans and manual check-ins both show up.

This link is for check-in volunteers only. Please do not share it publicly.

Keep this orientation page private and unlisted. The check-in link allows live guest check-in access.

Before guests arrive

  • Load in all check-in materials.
  • Set up both check-in tables.
  • Make sure the check-in area is clean, organized, beautiful, and functional.
  • Test the check-in process before VIP entry.
  • Confirm programs, drink tickets, VIP name tags, pens, guest lists, VIP lists, and devices are ready.
  • Set up the name tag high top table past the step and repeat for general admission guests.
  • Confirm the greeter flow from entrance to check-in to photos to event space.

During check-in

  • VIP check-in begins at 10:30 AM.
  • General admission check-in begins at 11:00 AM.
  • We are expecting approximately 100 VIP guests and 150 general admission guests.
  • Every guest should be checked in.
  • If a guest is not on the list, write down their name and ask them to fill out their own name tag.
  • Every guest gets a program and a drink ticket as they walk in.
  • VIP guests also receive their name tag at the entrance.
  • General admission guests pick up their name tag at the high top table past the step and repeat.
  • Direct guests to photos, auction, raffle, seating, and event areas.
  • Keep the line moving warmly and efficiently.
  • Goal: most guests checked in by 11:30 AM, before the fashion show call.

After main check-in / breakdown

  • At least one person stays available for late arrivals.
  • Break down and repack check-in materials when check-in slows.
  • Pack check-in materials into the correct labeled bins for load-out.

Greeter Flow

  1. Greeter 1

Welcomes guests as they arrive outside / at the entrance.

  2. Greeter 2

Helps after check-in and guides guests to the step and repeat, then to the name tag high top table.

  3. Greeter 3

Helps after photos and welcomes guests into the event space.

VIP guests
  • VIP guests include partners, sponsors, community supporters, VIP ticket holders, and VIP table guests.
  • Welcome every guest warmly. VIP guests get their name tag, program, and drink ticket at the entrance, plus extra guidance through check-in and photos.

Main responsibility
  • Run a safe, smooth, and on-time fashion show.
  • Show call 11:40 AM. Fashion show begins 11:45 AM.
  • Animal safety always comes first.

Before the show

  • Shelter dogs are expected to arrive around 11:00 to 11:10 AM. Edna arrives with Zino, Ezra, and Chewy.
  • Assistants: have water bowls ready for the dogs on arrival and again after the show.
  • Handlers: take your assigned dog on arrival. Give them time to potty, water if needed, and a calm walk to stretch their legs.
  • Handlers: watch your dog closely. If the dog seems stressed or uncomfortable, tell a lead right away. The dog does not have to participate. Move them to a quiet area to relax.
  • Leads: manage the overall flow and timing of the show.
  • Leads: line up dogs and handlers along the path in the order of appearance. See the order below.
  • Leads: hand out the outfits to the handlers.
  • Handlers: dress your dog and make sure they are comfortable and runway-ready.
  • Handlers: line up in order with plenty of space between dogs before approaching the stairs.
  • Leads: do a final check of dogs, outfits, handlers, and lineup before the show begins.

During the show

  1. Leads cue the next handler when it is time to approach the runway entrance.
  2. The handler brings the dog to the designated board member or walker.
  3. Entrance cues the board member and dog onto the runway.
  4. The board member and dog walk the runway.
  5. The handler walks around to the exit area to be ready for the dog.
  6. At the runway exit, the board member hands the dog to the exit person.
  7. Exit returns the dog to their handler right away and gets ready for the next dog.
  8. The handler moves away from the exit area, removes the outfit, and hands the clothing to an assistant.
  9. The handler returns the dog: shelter dogs go back to Edna for transport, alumni dogs go back to their family or designated person.

Keep the entrance and exit areas clear so the next dog can move through safely.

After the show

  • Assistants: collect each outfit as the dogs exit.
  • Place all shelter dog outfits together in the designated box.
  • Make sure the staging and runway areas are clean.
  • Confirm every dog is safely back with their transporter, handler, or family.
  • Make sure water is available for the dogs after the show.

Animal Safety Rules

Everyone: safety comes before timing, outfits, photos, or the show. Please use good judgment and common-sense animal handling at all times.

  • Carry poop bags and clean up after the dogs right away.
  • Keep all dogs on leash at all times. Shelter dogs stay on their slip leads.
  • No dog-to-dog introductions or interactions.
  • Do not let dogs greet unfamiliar dogs or people while moving through the event.
  • Keep plenty of space between dogs in the lineup and throughout the venue.
  • Never force a dog to participate if they seem stressed or uncomfortable.
  • Keep walkways, entrances, and exits clear.
  • Stay calm and attentive around the animals.

We appreciate you and your love for our animals.
